Your first handover

Create your first employee handover in Flamekeeper, collect role knowledge, and prepare documentation for a smoother transition.

Use this guide when you are responsible for keeping work moving after a departure, internal transfer, or extended leave.

Before you begin

Have the person's name, job title, last working day, and a short list of responsibilities ready. Identify the manager, departing employee, and colleagues who can explain dependencies. Check that your organization has capacity to create a case; if it does not, see billing and case credits.

Create the case

Open Cases and select New case (or Create a case in the empty workspace). Enter the employee's name, then choose Talk to the assistant or Fill in manually. Voice setup prepares details for you to review; check those details before creating the case.

Choose the closest role profile and the reason for the transition. Add responsibilities and current projects rather than only a job description. See create a handover case for the full walkthrough.

Collect the knowledge

In Overview, use Add your details to contribute manager context and Send employee link to ask the employee to contribute. Use the case's Users tab to involve colleagues who know specific parts of the work.

Aim for a useful first pass: what happens each week, where the work lives, who depends on it, and what could fail. You can close gaps after reviewing the answers.

Review and prepare the handover

In Case knowledge, save any edited answers before selecting Run AI review. Read the missing information and follow-up questions, then ask for the details that matter most before the last day.

Use Prepare documents from Case actions, then open Documents to inspect the drafts and request reviews. The AI review helps focus your attention; the manager still decides whether the successor has enough context to take over.

Finish with document review and export and the completion checklist.
