Knowledge chat guides each contributor through role-specific questions and follow-ups. It combines text messages, transcribed voice input, and supported source files so managers, departing employees, and colleagues can turn scattered working knowledge into structured case knowledge without writing a polished handover document first.
Open Knowledge chat
Open the handover case and select Knowledge chat. Flamekeeper opens the chat for your role in the case, so answer from your own perspective:
- Managers can explain priorities, continuity risks, intended owners, and upcoming commitments.
- Departing employees can describe routines, decisions, exceptions, relationships, and unfinished work.
- Colleagues can add dependencies, shared processes, and context that may be missing from the employee's account.
You can leave and return to the chat. Your previous messages remain available so you can continue where you stopped.
Use text, voice, and files together
Choose the input that best fits each piece of knowledge. Type precise details, dictate context that is easier to explain aloud, and upload existing files that already contain useful facts. You can use all three methods in the same Knowledge chat session.
- Text messages: type an answer or follow-up directly in the chat.
- Voice dictation: record up to three minutes at a time. Flamekeeper transcribes the recording into an editable text draft. Review the transcript, correct it if needed, and send it to add it to the conversation.
- Source files: upload an existing document, presentation, or transcript. Flamekeeper extracts relevant handover details from the file without requiring you to copy and paste them into a message.
Specific examples are more useful than broad summaries. Include triggers, owners, deadlines, links to approved systems, common failure modes, and the next action where relevant. Do not include passwords, API keys, or unrelated personal information.
Upload source files
Knowledge chat can extract useful handover details from several file types:

Open the attachment control, drag and drop a file or choose one from your device, then wait while Flamekeeper extracts the relevant knowledge. Each source file can be up to 5 MB.
The uploaded file is processed only for knowledge extraction, then discarded. It is not stored or added to the chat history. Treat uploaded content as case material and only use files you are authorized to share.
How the inputs are processed
Flamekeeper brings the useful output from each input method into the same case knowledge:
- Sent text messages and reviewed voice transcripts become part of the role-specific conversation.
- The chat uses the case context to ask follow-up questions and identify useful handover details in those messages.
- Uploaded files are processed in a separate extraction step. Relevant details are added to the contributor's case knowledge, while the source file itself is discarded.
- Case knowledge brings the extracted details together under the case's knowledge sections, regardless of whether they came from a typed message, dictated answer, document, presentation, or transcript.
The text conversation remains in chat history so the contributor can continue later. Raw voice recordings and uploaded source files are not added to that history.
Why this helps knowledge management
Important knowledge is rarely held in one format. Procedures may be in a document, project context in a presentation, decisions in a meeting transcript, and practical exceptions in an employee's memory. Knowledge chat gives those sources one capture path and makes their useful details easier to review together.
This helps the organization move from collecting files to managing knowledge: teams can see what is known, identify gaps and single-person dependencies, ask targeted follow-up questions, and turn the result into handover documents and owned actions. The original contributor still supplies the context, while Flamekeeper helps make it findable and usable by the next owner.
Review what the chat captured
Open Case knowledge to review the structured information collected from text messages, voice transcripts, and uploaded sources. Check names, owners, dates, and operational details. Continue Knowledge chat when an answer is incomplete or a follow-up question could surface an important exception.
Managers can then use AI review to identify remaining gaps and decide what needs another conversation, a document update, or a named action item.
