The most useful handover knowledge often sits between people: the employee knows the routine, a colleague knows the dependency, and the manager knows what matters next. Flamekeeper lets you bring those perspectives into the same case.
Add manager context
Open Overview and select Add your details. You can also open Manager chat from Case actions. Explain the continuity risks, the intended successor or temporary owner, and which work must not be interrupted.
Ask the employee to contribute
Select Send employee link in Overview, enter the employee's email, and select Send link. Check the address before sending. Tell the employee which responsibilities matter most and when the information is needed.
Share the contributor guide if they need examples of a useful answer.
Involve colleagues
In the case's Users tab, select Add user, enter the email, and choose the appropriate case role. Use colleagues who can fill specific gaps rather than inviting the whole organization.
To request knowledge by email, select eligible participants in the table and use the envelope control labelled Collect knowledge over email. Confirm with Send emails. If the control is disabled, check that you selected an eligible participant and have permission to manage the case.
Check what was captured
Read Case knowledge to see the case sections. Look for missing routines, unclear ownership, unexplained links, and unresolved risks. A link to a runbook is most useful when the answer also says when to use it and what is different today.
Use AI review to focus the next round of questions. This turns employee knowledge transfer into a reviewable process rather than a one-time request for a document.
